Many email providers now require additional encryption settings to send emails from third party programs. Due to these changes, email account settings that used to work correctly in PastPerfect 5 may now give an error message when sending emails. The error may show as "Error Sending email" or "Before sending you need an active server connection…" messages.
The PastPerfect 5.0E1 update includes new programming to allow for the additional encryption settings that email providers require. If you are not already at this version of the PastPerfect 5 software, we suggest you update to the latest version before proceeding.
If you experience errors sending email, please do the following:
- Update to the latest update (5.0E1 or higher). Download the update from our website, https://museumsoftware.com/softwareupdates.html and follow instructions on the download page.
- Once you have updated to 5.0E1 and reindexed, please go to Setup | Contacts | Email | Email Setup.
- Verify your email SMTP settings are correct, and then click the Send Test Email button.
- Enter in an email address that you can send a test email to (this may be yours or another email), and then click Send.
If you receive a message saying "Email Sent Successfully", then your settings are correct and you should be able to continue sending email with PastPerfect. If you still receive the "Error Sending Email" message or other error messages, please check your email settings to make sure they are correct.
Programs that are at 5.0E1 and higher may also receive a large "Email Error Log" message that provides additional information about why you are receiving this error.
We have listed below SMTP and Port settings that work at the time this article was published, but strongly suggest verifying your settings with your email provider. You should also verify how many emails can be sent in an hour or day by your email provider.

NOTES: Requires active Comcast/xfinity email address and password. Return email also needs to be same as the login address.
Email Provider: GMAIL.COM
SMTP path: smtp.gmail.com
Port #: 465 (SSL) or 587 (TLS)
NOTES: With Google's updated security settings, your Google account will need to have two-step verification turned on and you will need to create an App Password to use for PastPerfect. Once you have created an App Password, enter this in your PastPerfect Setup | Contacts | Email | Email Setup password field.

SMTP path: smtp-mail.outlook.com
Port #: 587
NOTES: Needs to be a verified email account. There are also limitations on the number of emails per day you can send with your account based on account "reputation" determined by Microsoft. If the Microsoft servers determine a higher than normal amount of emails being sent, they may temporarily lock your account down to allow a smaller number of emails to be sent per day.

NOTES: Your Office365 SMTP path may be different depending on your account settings. You can verify your settings under Settings | Options | Account | My Account | Settings for POP and IMAP access.

NOTES: Requires Yahoo account setting change to allow less secure apps to send email. If you are using two-step verification or Account Key, you will also need a 3rd party app password. While logged into your Yahoo account, click your account name in the top right. Go to Account Info and then click Account Security. Check the option to allow apps that use less secure sign in.
