PastPerfect 5.0 allows you to customize the fields to display when viewing contact record search results. In addition, you can use these fields to sort your contacts in the order you want the letters, labels, or envelopes to print.
To include the zip code as a field to sort your contacts by, use the following steps:
- From the Main Menu, click the “Setup” button, and then click “Query Fields”.
- Select the “Contacts” radio button in the Table section of the Sidebar.
- In the bottom portion of the Sidebar, click on the “Change Query Results Field List” button.
- By default, PastPerfect uses the first two columns in the Query Results screen for ID# and Name & Title. To display a contact’s zip code on the Query Results screen, use the drop-down list next to the first available field and select Zip.
- If you wish to rename the zip code column header, edit the name listed in the Header Caption field. This is optional, but may be useful.
- Once you are finished, click the “Exit & Save” button. Then click the “Exit” button to return to the Main Menu.
- The next time you run a query or create a Contact List, your search results will display with your selected fields. To sort your records by zip code, simply click on the Zip column header name. The contacts on your list will now be sorted in zip code order.
- To print labels, letters, or envelopes in zip code order, click the “Print, Export and Email” button on the Sidebar. PastPerfect will take into consideration and sort primary and secondary address zip codes based on the selected mailing date when printing.
Please note that if you are using PastPerfect Security, each user will need to set up their individual Query Results Field List. For more information on setting up query results fields, you can review pages 57-59 in your PastPerfect 5.0 User’s guide.
