Creating and Uploading Files in Batches

If you have a significant number of records and images to upload to your PastPerfect Online site, you might find it helpful to break the upload into batches. For some computers, creating lots of images is overwhelming and can result in errors. Similarly, for some Internet connections, the upload process can take too long resulting in an aborted upload process. These setbacks are often avoided by following the steps in this article.

This process can be tricky, so do not hesitate to contact our support team if you have any questions or would like to go through these steps together.

As an overview, in the first batch, you will usually want to create and upload all of your data and the first set of image folders. Then, in subsequent batches, you can just create and upload the next sets of image folders. It is important to upload a batch after it is created before you start creating the next batch. Please be sure to close PastPerfect and reopen it in between batches.

Batch 1: All Data and First Batch of Image Folders

Before performing these steps, you want to make sure you have selected all records you want to be included on your website.

Create Data & Batch 1 Images:

  1. Click the "PastPerfect Online" button on the Main Menu.
  2. Click the "Next" button.
  3. Click the "Create Web Publishing Files" button in the Sidebar.
  4. Check the box for "Selected Images Only" under the Images section.
  5. Click the "Select Image Folders" button.
  6. Click the "Clear All" button.
  7. Check several boxes next to the numbered subfolders, making note of which folders you select. We generally recommend no more than 15-20 folders at a time, though some computers may only be able to handle 5-10.
  8. Click the "Close" button.
  9. Click the "Create Files Now" button. This process will create the data and images for you, and it may take a while. When this process is finished, you are ready to upload the data you have created, as well as any images.

Publish Data & Batch 1 Images:

  1. Click the "Ok" button when the Create Files process is complete.
  2. Click the "Next" button or the “Publish Files to Web” button.
  3. Make sure both Data Files and Images are checked under Select Files to Upload.
  4. Check the box next to "Upload Only Images in Selected Folders".
  5. Click the "Select Image Folders" button.
  6. Click the "Clear All" button.
  7. Check the same folders you selected in step 7.
  8. Click the "Close" button.
  9. Click the "Upload Data and Images to Website" button. This process may take several minutes.
  10. When this process is finished, please close PastPerfect and then reopen it. Now, you’re ready to continue with Batch 2.

Batch 2: Next Set of Image Folders

Create Batch 2 Images:

  1. Click the "PastPerfect Online" button on the Main Menu.
  2. Click the "Next" button.
  3. Click the "Create Web Publishing Files" button in the Sidebar.
  4. Uncheck all numbered options except for #6: Images file and #12: Images.
  5. Check the box for "Selected Images Only" under the Images section.
  6. Click the "Select Image Folders" button.
  7. Click the "Clear All" button.
  8. Check the boxes next to your next batch numbered subfolders, making note of which folders you select.
  9. Click the "Close" button.
  10. Click the "Create Files Now" button. This process will create the images in those folders, and it may take a while. When this process is finished, you are ready to upload these images.

Publish Batch 2 Images:

  1. Click the "OK" button when the Create Files process is complete.
  2. Click the "Next" button or the “Publish Files to Web” button.
  3. Uncheck Data Files under Select Files to Upload. Images should still be checked.
  4. Check the box next to "Upload Only Images in Selected Folders".
  5. Click the "Select Image Folders" button.
  6. Click the "Clear All" button.
  7. Check the same folders you selected in step 8 of this batch.
  8. Click the "Close" button.
  9. Click the "Upload Data and Images to Website" button. This process may take several minutes.
  10. When this process is finished, please close PastPerfect and then reopen it. If you have additional image folders to create and upload, you can repeat the steps in Batch 2 as many times as you need, changing the image folders in steps 8 and 17.
