If you have a group of records you wish to share online, individually checking the “Include in Web Export” box for each record may not be efficient. Instead, you can use either a Query or a Catalog List to select multiple records to be shared at once. You can also use a Catalog List to remove multiple records from being included online.
Please note that when using queries or catalog lists to select records, all images attached to those records are also selected to be shared. If you have previously deselected an individual image from being shared and its record is reselected for PastPerfect Online, the image will also be reselected.
Here are a few real-life examples of how PastPerfect Online organizations are using Catalog Lists:
Reviewing Records
Your intern creates records in PastPerfect for your collection items and adds them to a Catalog List once they are complete. The curator then reviews each item to confirm it was fully cataloged before marking all the records from the list to go online at once using the "Include in Web" Catalog List action.
Excluding Records
Your collection contains items that cannot be shared online due to donor restriction or sensitive subject matter. Putting these special records onto their own catalog list allows you to use the "Remove from Web" Catalog List action before each upload, ensuring that none of these items are published to your site by mistake.
Creating an archive
Before each upload, you create a new Catalog List containing the date in the list name and use the "Web Include – is True" query to quickly add all records marked to go online to your list. You keep the old lists, creating an archive of uploaded records which you can later reference to report your progress to the board.
After selecting records, you will need to go through the Create and Upload steps of the Web Publishing Wizard before the records and images will appear on your site.
