Multimedia files can be attached to Catalog, Accession, Incoming Loan, Outgoing Loan, Temporary Custody, Exhibit, People, Site, Campaign, and Contact records. Multimedia files include PDFs, MS-Word documents, Excel spreadsheets, audio files, video files and any other file your computer can open. You can also add URLs to these records as well.
Attach Multimedia File
- Go to the record where you want to attach a multimedia file.
- Click "Edit" at the top of the record.
- Click on the "Attachments & URLs" accordion to expand it.
- To attach files, click "Add Files" or drag and drop a file into the "Or drag-n-drop here" box.
- If you click "Add Files", this will open the Open/File Upload dialog. Navigate to the location when the file is saved. Select the file and click "Open".
- When the file has been uploaded, you will see the Date, User, and File Name populated in the grid.
- If you want to add a brief Description for the file, hover over the attachment's row and click the Pencil icon on the far right. A box will appear in the Description column where you can type the description.
- Click "Save" on the record.
Attach URL
- Go to the record where you want to add the URL.
- Click "Edit" at the top of the record.
- Click on the "Attachments & URLs" accordion to expand it.
- Click "Attach URL".
- Enter the URL for the web page.
- If you have the page open in another tab, you can copy the URL from the address bar and then paste the URL into the field.
- Enter a Description of the web page, if desired.
- Click "Save".
- Click "Save" on the record.
