How do I share data from my PastPerfect Online site with DPLA?
If you’re interested in sharing data with DPLA, the first step is to find your regional Service Hub. DPLA does not accept data from individual organizations; instead, they work with Service Hubs who have gathered information from local organizations. Once your data is submitted to your regional Service Hub, they will work to submit it to DPLA. You can find your hub at https://pro.dp.la/hubs/our-hubs. If you don’t see a hub for your region listed, contact your state historical society to see if they can help.
Which Service Hubs does PastPerfect Online work with?
PastPerfect Online users are currently contributing to the following Service Hubs:
- California Digital Library (Calisphere) [California]
- Indiana Memory [Indiana]
- Northwest Digital Heritage [Oregon, Washington]
- Plains to Peaks Collective [Colorado, Wyoming]
If you fall within the region of one of these Service Hubs, we already have a tool created that will generate XML files for your Service Hub to harvest. Reach out to pposupport@museumsoftware.com and we will help you get this tool set up on your PastPerfect workstation. Be sure to work with your Service Hub to ensure you are sharing all of the information they require.
What if I am part of a different Service Hub?
Our team will need to speak with a representative of your Service Hub to determine if our existing tool will work for them, or if a new, custom tool would need to be built. Please have someone from your Service Hub contact the PPO team at pposupport@museumsoftware.com.
What are some best practices for getting my data ready for DPLA?
The more consistent your data, the better! Work to set up Authority Files and train your staff and volunteers on how to use them. You can find more information about using Authority Files here: https://museumsoftware.com/WebHelp/Chapters/PP5-3n.htm.
You should also work to make sure that your records meet your professional standards. Once your data is shared with your Service Hub and DPLA, your audience will quickly grow. Making sure that your data is in tip-top shape for all your new visitors is key.
My Service Hub requires Right Statement information. Is this something PastPerfect can include?
Yes, PastPerfect has a field called “Web Rights” where you can select from the 12 approved Rights Statements. You will need to be using PastPerfect version 5.0E6 or higher to have access to this field.
